Privacy Policy

This Privacy Policy explains how DeutschePolska LLC, a New Mexico limited liability company (“DeutschePolska”, “Pinecall”, “we”, “us”), the company behind Pinecall, collects, uses, discloses and protects personal information in connection with the Pinecall voice AI platform, APIs, SDKs, website and dashboards (the “Service”). It applies to our website visitors and account holders, and describes how we handle the call data our customers process through the Service.
1. Our two roles
As a business / controller. For the personal information of our website visitors and account holders (e.g. your name, email, organization and billing details), we decide how and why it is processed, and this Policy governs that use.
As a service provider / processor. When our customers build agents that place or receive calls, those calls may involve the personal information of the people they contact (“End Users”), including voice recordings and transcripts. We process that information on our customer’s behalf and under their instructions. Our customer is the controller/business for that data. If you are an End User, please direct privacy requests to the business whose agent contacted you; we will support them in responding.
2. Information we collect
- Account & contact data — name, email, organization name, password (hashed), and role.
- Billing data — plan, usage and payment records. Card details are handled by our payment processor (Stripe); we do not store full card numbers.
- Usage & device data — logs, IP address, browser/device information, and events generated when you use the Service.
- Integration data — credentials and configuration for the carriers and AI providers you connect (e.g. via Twilio Connect).
- Call content (processed for customers) — audio, recordings, transcripts, phone numbers and metadata for the calls our customers’ agents handle. This may include sensitive information such as voice recordings.
3. How we use information
- to provide, operate, secure and improve the Service;
- to authenticate you, resolve credentials and route calls;
- to process payments and prevent fraud and abuse;
- to provide support and communicate with you about the Service; and
- to comply with law and enforce our Terms.
We do not sell your personal information, and we do not use call content processed on behalf of customers to train our own or third-party AI models except as needed to provide the Service to that customer or as they instruct.
4. How we share information
We share personal information with service providers (“subprocessors”) that help us run the Service, each bound to protect it and use it only to provide their service to us:
- Telephony — Twilio and connected carriers, to place and receive calls.
- AI providers — the speech-to-text, text-to-speech and large-language-model providers you or we configure to power your agents.
- Cloud infrastructure — Google Cloud and Amazon Web Services, for hosting and delivery.
- Payments — Stripe, to process subscriptions and top-ups.
A current list of subprocessors is available on request at info@pinecall.io. We may also disclose information to comply with law, enforce our agreements, or in connection with a merger or acquisition.
5. Data retention
We retain account and billing data for as long as your account is active and as required for legal, accounting and security purposes. Call recordings and transcripts processed for customers are retained according to the customer’s configuration and instructions, after which they are deleted or de-identified.
6. Security
We use administrative, technical and organizational measures designed to protect personal information, including encryption in transit, access controls and scoped credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to opt out of the “sale” or “sharing” of personal information, to limit the use of sensitive personal information, and not to be discriminated against for exercising these rights. California residents have these rights under the CCPA (as amended by the CPRA); residents of the EU/UK have rights under the GDPR. We do not sell or share personal information as those terms are defined under California law.
To exercise a right, email info@pinecall.io. We will verify your request and respond within the timeframe required by applicable law. If your data was processed by one of our customers’ agents, we will refer you to, or act on the instructions of, that customer.
8. International transfers
We are based in the United States and process information there. Where we transfer personal information from the EU/UK, we rely on appropriate safeguards such as the Standard Contractual Clauses. A Data Processing Addendum (including SCCs) is available on request.
9. Cookies
Our website and dashboards use cookies and similar technologies that are necessary to operate the Service (for example, to keep you signed in) and, where applicable, to understand usage. You can control cookies through your browser settings.
10. Children
The Service is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
11. Changes
We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
